PFLI SCORING SYSTEM INSTRUCTIONS The PFLI Scoring System consists of the following files. PFLISCORESVxx.EXE (the main executable file where x is the current version number) PFLIDATA.DAT (the main data file containing all of the scoring information) PFLICLUB.DAT (a data file containing the club names and numbers) PFLIMEMB.DAT (a data file containing the makers and their club numbers) PFLIJUDG.DAT (a data file containing the list of monthly judges) PFLIRIBB.DAT (a data file containing the score requirements for awards) PFLIHELP.DAT (a help file) VB40032.DLL In addition the program will create a number of temporary files depending upon the options selected. All of these files begin with a ~. They may be deleted after they are printed or viewed or they may be left in place to be overwritten on their next use. Depending on your operating system you may have to install VB40032.DLL in your C:\windows\system32 folder for the program to operate. You may also have to right click the EXE file and “Run as Administrator” the first time you run the program. MONTHLY UPDATE A typical update consists of the following steps. 1. Gather and sort the handwritten score sheets by class...CPA, CPB, etc. 2. Run the executable file and select the option JUDGES DATA FILE from HOME page. Input the names of the judges for the month and return to the HOME page. 3. Select the SCORES DATA FILE option from the HOME page. Click on [ADD NEW RECORDS]. Enter the [CLASS] and [MONTH]. Start typing the makers last name in the [SEARCH] box. The list on the right will either move to the actual makers name or a name close by. If close by click on the actual name. Type the [TITLE OF PHOTOGRAPH] box and [tab] to the [SCORE] box...type in the score and [TAB] to the [ADD AND CONTINUE] button, hit [ENTER] and the cursor returns to the [SEARCH] box for the next entry. You do NOT have to type capital letters in the title box, the program will add them and save you a lot of effort and time. Be careful to watch for changes in classes and for make-ups and second slates as you go thru the input forms. If you miss a change you will have to make corrections later on and it will be a real pain. Occasionally you will find a new maker. When this occurs type in the [CLUB] number, the [FIRST NAME], the [LAST NAME] and click [ADD NEW MEMBER]. Then continue with the [TITLE OF PHOTOGRAPH] and [SCORE]. Continue until you are finished. Then click [STOP] and then [BACK TO HOME PAGE]. 4. Select the [REPORTS] option. Re-sort the hand written score sheets by club, Select the month and click option [1. ALL ENTRIES]. Verify that the data in the data base is the same as on the hand written sheets. If there are errors return to the [HOME PAGE] and find the incorrect record. In general the best way is to [SORT] the data base by makers name, search for the error, type in the corrected information and click [SAVE CHANGES TO THIS RECORD]. Return to the verification process and continue. 5. When all of the records have been verified return to the [HOME PAGE] and click on [ERROR DETECTION]. This routine will check for high level errors such as a maker competing in both class "A" and class "B" in the same category or competing in the same category at two different clubs. This error is difficult to detect otherwise. Find and correct any mistakes. Occasionally you may find two makers from different clubs with exactly the same name. The program has no way of knowing this is not a mistake. In this case one of the names must get an asterisk...John Smith and John Smith* …….in order to keep them separate. 6. Return to the [REPORTS] page and click option [2. SCORING SUMMARY]. Upload this file later to the PFLI webpage. 7. Click on option [3.RIBBON LABELS]. This option produces a file listing all makers eligible for a ribbon award for later use. 8. Click on option [4.STATISTICS] and print and save a hard copy. Make sure the checksum numbers (on a line about halfway down the first page) for the previous months did not change. If they did you somehow changed a score for a previous month and you will have to find the error. The only time these numbers should change is if a make-up was recorded. 9. Click on option [5.STANDINGS] and print and save a hard copy. 10. Return to the [HOME PAGE]. Load sufficient 1/2" x 1 3/4" label sheets, click on [PRINT RIBBON LABELS] and print the ribbon labels. This completes the MONTHLY UPDATE. BACK UP THE DATA TO WHATEVER MEDIA YOU GENERALLY USE FOR THIS PURPOSE. BACK IT UP SOMEWHERE ELSE AGAIN. A 1G flash drive will be more than adequate. E MAIL the ~ALL.TXT file to all the delegates for their information. E MAIL the data files to the PFLI officers for backup. OPTIONAL The following options provide additional data analysis if requested. Option [6. CLUB NEWSLETTER SINGLE CLUB] Option [7. CLUB INDIVIDUAL SCORES WITH AVERAGES] Option [8. CLUB INDIVIDUAL SCORES NO AVERAGES] Option [9. CLUB LIST OF ALL ENTRIES BY MONTH] LEONARD VICTOR ELIGIBILITY The following Option is used to inform the clubs regarding LV eligibility at the end of the competition year. Option [10. PFLI INDIVIDUAL LEONARD VICTOR ELIGIBILITY] Post this file on the web page RIBBON OPT-OUT Some members may wish to opt-out of a ribbon. If so, open the PFLIMEMB.DAT data base and place an X in that box in the makers record. AWARD RIBBONS Should the minimum scores for ribbons and Leonard Victor eligibility change you can reset them by clicking on [AWARDS] on the [HOME PAGE]. ANNUAL REPORTS AND END OF THE YEAR CLEAN-UP From the [HOME PAGE] click on [MAKERS DATA FILE] and then on [Print list of non-competing members). This option produces a list of individuals in the Members Data File that DID NOT compete in the current season. You may use the list to delete the names from the Members Data File. A few may return after a 1 year absence and you may have to add them back but it is usually not likely. Copy the Main Data file PFLIDATA.DAT to PFLIxxxx.DAT where xxxx is the past year. Back it up. Then delete the main data file. Delete the Judges File PFLIJUDG.DAT. Run options 12 thru 15 and post the results on the web page. PROGRAM LIMITATIONS 1. Club numbers are limited to 1 thru 49 2.
